• Leads and individuals whose information is processed through the platform on behalf of Users

RealtorOS acts as a data processor for Lead data and as a data controller for account and platform-related information.

We use information strictly to operate, maintain, and improve the Services, including:

• Facilitating AI-driven conversations and responses
• Generating summaries, insights, and recommendations
• Automating follow-ups and communications
• Creating personalized newsletters and content
• Scheduling and calendar coordination
• Maintaining system performance and security

We do not sell personal data.

4. Artificial Intelligence and Automated Processing

RealtorOS uses artificial intelligence to process communications and generate responses.

• Data is used solely to provide platform functionality
• Data is not used by RealtorOS to train independent AI models
• Processing may be performed using third-party providers such as OpenAI
• Automated decisions do not produce legal or similarly significant effects without user involvement

5. Data Ownership and Roles

• Users (Realtors) retain ownership of all Lead data they provide or collect
• RealtorOS processes Lead data on behalf of Users to deliver Services
• RealtorOS does not share Lead data between Users
• RealtorOS may use aggregated and de-identified data to improve platform performance and efficiency

6. Third-Party Service Providers

We may share data with trusted third-party providers strictly as necessary to operate the Services, including:

• OpenAI AI processing
• Twilio messaging and voice communication
• Google / Microsoft email and calendar integrations

These providers process data only on our behalf and are not permitted to use it for independent purposes.

7. Communication and Consent (TCPA and CAN-SPAM)

RealtorOS provides tools for automated communication, including email, messaging, and AI-assisted outreach.

By using these features, Users agree that:

• They have obtained all required consent from Leads prior to communication
• They will comply with applicable laws, including TCPA and CAN-SPAM
• They will honor opt-out requests and communication preferences

RealtorOS provides recommended safeguards and controls but does not assume liability for User misuse of communication features.

8. Data Retention

• Data is retained for as long as a User account is active
• Upon account termination, data is retained for up to 30 days
• After 30 days, data is permanently deleted
• Backup data may be retained for up to 90 days for system recovery

9. User Rights

Subject to applicable law, Users may:

• Access their data
• Export their data
• Request correction of inaccurate data
• Delete individual records or their entire account

10. Data Security

We implement commercially reasonable safeguards, including:

• Encryption in transit and at rest
• Access controls and authentication measures
• Monitoring and logging of system activity

No system is completely secure, and we cannot guarantee absolute security.
